We are committed to protecting your privacy and being transparent about our data practices.

When you use the QuickBooks Online integration, we use data obtained through the Intuit API solely to provide synchronization services between GATHEROUND and your QuickBooks account. This data is never used for analytics, advertising, or any secondary purpose. Our use of data obtained from Intuit APIs complies with Intuit's API Terms of Service and data use policies.

3. QuickBooks Online Integration

GATHEROUND offers an optional integration with Intuit QuickBooks Online ("QBO") to help catering businesses synchronize their financial data. This section describes how we handle data accessed through that integration.

What We Access

When you connect your QuickBooks Online account to GATHEROUND, we request access to the following data through Intuit's authorized API:

Data Storage and Retention

QuickBooks connection credentials (OAuth tokens) are encrypted at rest using industry-standard encryption. We store only the minimum data necessary to maintain your connection and perform synchronization. If you disconnect your QuickBooks account, your OAuth tokens are deleted immediately and no further data is accessed. Synchronized records already imported into GATHEROUND are retained according to our standard data retention policy and may be deleted upon account closure.

Disconnecting Your QuickBooks Account

You may disconnect your QuickBooks Online account at any time from the Integrations section of your GATHEROUND Settings. Upon disconnection:

4. How We Share Your Information

Within Your Organization

Information you enter into the platform is accessible to other authorized users within your organization based on their assigned roles and permissions. Operators control who within their organization has access to what data.

With Clients

When Operators share event information through the client portal, certain event details become accessible to the associated clients. Operators control what information is visible to their clients through portal settings and sharing permissions.

Service Providers

We share information with third-party service providers who perform services on our behalf, including hosting, analytics, payment processing, and customer support. These providers are contractually obligated to use your information only for the purposes of providing their services to us.

QuickBooks Online

If you have connected your QuickBooks Online account, we transmit data to Intuit's QuickBooks Online API on your behalf to create and update records as directed by your use of the Services. This transmission is performed at your explicit direction and is subject to Intuit's terms of service and privacy policy.

Legal Requirements

We may disclose your information if required to do so by law, or if we believe in good faith that such disclosure is necessary to comply with a legal obligation, protect our rights or safety, prevent fraud, or respond to a government request.

Business Transfers

In the event of a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred to the acquiring entity. We will notify you of any such change in ownership or control of your personal information.

5. Data Retention

We retain your information for as long as your account is active or as needed to provide the Services. If you close your account, we will delete or de-identify your personal information within 90 days, except where retention is required by law or necessary to resolve disputes.

Aggregated, de-identified data that cannot be used to identify you may be retained indefinitely for analytics and product improvement purposes.

6. Data Security

We implement industry-standard security measures to protect your information, including encryption in transit (TLS/SSL), encryption at rest, access controls, and regular security assessments. However, no method of transmission over the internet or method of electronic storage is 100% secure, and we cannot guarantee absolute security.

We encourage you to use strong passwords, enable available security features, and promptly report any suspected security issues to us.

7. Your Rights and Choices

Access and Portability

You have the right to access the personal information we hold about you. You may request a copy of your data in a portable, machine-readable format by contacting us.

Correction and Deletion

You have the right to request correction of inaccurate personal information or deletion of your personal data. You can update most information directly through your account settings, or contact us for assistance.

Communication Preferences

You may opt out of non-essential communications at any time by using the unsubscribe link in our emails or by updating your notification preferences. Service-related communications (security alerts, billing notices, Terms updates) cannot be opted out of while your account is active.

California Residents

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information. We do not sell personal information.

Georgia Residents

Georgia residents may have rights under applicable state privacy laws. We comply with all applicable Georgia data protection requirements.

8. Children's Privacy

The Services are not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information promptly.
